Guest Booking Terms

DVC Exchange UK Ltd is an independent booking and matching service. We connect guests seeking Disney Vacation Club accommodation with Disney Vacation Club Members who have points available to rent.
DVC Exchange UK Ltd is not affiliated with, endorsed by or operated by Disney Vacation Club, The Walt Disney Company or any of their subsidiaries.
2. Our role
DVC Exchange UK Ltd acts as an intermediary between guests and participating Disney Vacation Club Members.
We will:
Provide a quotation based on the requested accommodation.
Check availability.
Seek a suitable DVC Member.
Collect and administer payments.
Provide the Member with the information required to make the reservation.
Send the Disney confirmation details to the guest.
Provide reasonable support concerning the reservation.
The matched DVC Member uses their DVC points to make the reservation in the guest’s name. DVC Exchange UK Ltd does not own or control Disney Vacation Club accommodation, Disney’s reservation system or the Member’s DVC account.
3. Eligibility
The person making the booking must:
Be at least 18 years old.
Have the legal capacity to enter into a contract.
Be authorised to make the booking on behalf of everyone included in the reservation.
Ensure that all information provided is complete and accurate.
Make all travellers aware of these terms.
The lead guest is responsible for all payments and communications relating to the booking.
4. Quotations and availability
A quotation is an invitation to proceed and is not confirmation that accommodation is available or reserved.
Prices are based on the information supplied, applicable DVC points requirements and DVC Exchange UK Ltd’s price per point at the time the quotation is issued.
Unless stated otherwise, a quotation includes only the Disney Vacation Club accommodation described. It does not include flights, park tickets, transport, travel insurance, food, dining plans or other travel services.
Availability can change until the reservation has been completed by the matched DVC Member.
Any quotation will remain valid for the period stated on it. If no period is given, the quotation will remain valid for seven days, subject to availability.
5. The £100 deposit
To proceed, the guest must accept the quotation, provide the requested guest information and pay a £100 deposit.
The deposit:
Authorises DVC Exchange UK to begin finding a suitable DVC Member.
Forms part of the total booking price.
Will be deducted from the remaining balance.
Does not guarantee that a Member or reservation will be available.
If DVC Exchange UK Ltd cannot find a suitable DVC Member or cannot proceed with the requested reservation, the £100 deposit will be refunded in full.
If the guest withdraws after DVC Exchange UK Ltd has begun the matching process but before paying the remaining balance, DVC Exchange UK Ltd may retain reasonable costs directly incurred in processing and sourcing the request. Any amount retained will not exceed the £100 deposit and will reflect the work undertaken and losses caused by the withdrawal.
6. Matching and payment of the balance
When a suitable DVC Member has been identified, DVC Exchange UK Ltd will invite the guest to pay the remaining balance.
The balance must be paid by the deadline stated in the payment request. If payment is not received by that deadline, the proposed Member match or availability may be lost.
Once the remaining balance has been received, DVC Exchange UK Ltd will instruct the matched DVC Member to make the requested reservation.
Payment does not guarantee the reservation until it has been successfully completed through Disney Vacation Club.
If the Member cannot complete the reservation after the guest has paid the balance, DVC Exchange UK Ltd will use reasonable efforts to find another suitable Member or alternative agreed accommodation. If this cannot be arranged, all amounts paid for that reservation will be refunded.
7. When the booking is confirmed
The booking is confirmed only when:
The remaining balance has been paid in full.
The matched DVC Member has successfully made the reservation.
DVC Exchange UK Ltd has issued written confirmation to the guest.
The guest will be provided with the Disney reservation confirmation details so that the reservation can be linked to the appropriate Disney account or app.
The guest must check the confirmation promptly and notify DVC Exchange UK Ltd immediately if any information is incorrect.
8. Guest information
The guest must provide accurate information for everyone included in the reservation, including names, address, telephone number and ages where required by Disney.
Names should match the guests’ identification or travel documents where applicable.
DVC Exchange UK will not be responsible for problems caused by incorrect, incomplete or late information supplied by the guest.
Requests to correct guest-provided information may be treated as an amendment and remain subject to Disney’s rules, the Member’s cooperation and availability.
Guest information will be shared with the matched DVC Member and entered into Disney’s systems for the purpose of making and managing the reservation. Further information is available in our Privacy Policy.
9. Cancellations by the guest
Disney Vacation Club reservations are made using a Member’s points and can be subject to significant restrictions.
Because the reservation provides accommodation for specific dates, the statutory 14-day cancellation right that applies to many online purchases does not normally apply.
Cancellation may result in the loss of some or all amounts paid. However, DVC Exchange UK will assess the circumstances of the cancellation and whether the reservation or points can reasonably be recovered, amended or re-rented.
Any amount retained will reflect sums that have been irrecoverably committed and the reasonable losses caused by the cancellation.
DVC Exchange UK will take reasonable steps to reduce avoidable losses where practicable, but cannot guarantee that a replacement guest can be found or that the DVC Member’s points can be restored.
Any refund due will be calculated after taking account of:
Amounts already paid or owed to the DVC Member.
Restrictions affecting the Member’s points.
Disney Vacation Club deadlines and rules.
Payment-processing costs that cannot be recovered.
Reasonable administration and re-booking costs.
Any amount recovered by successfully re-renting the reservation.
These provisions do not affect the guest’s statutory rights where services are not supplied as agreed.
10. Amendments requested by the guest
Requests to change any part of a confirmed reservation—including dates, resort, room type, lead guest or other guest names—are subject to:
Disney Vacation Club rules.
Availability.
The matched Member’s agreement and ability to make the change.
Any additional points or costs required.
DVC Exchange UK Ltd cannot guarantee that an amendment will be possible.
Before making a chargeable amendment, we will tell the guest about any additional price or reasonable administration charge and obtain agreement to proceed.
If an amendment cannot be made, the original reservation and payment obligations will continue unless otherwise agreed.
11. Dining plans and additional purchases
Where Disney permits it, a guest may request that an eligible dining plan or other reservation-related item be added through the matched Member.
Additional items are subject to Disney’s availability, prices, deadlines and conditions.
The full cost must be paid before the Member is instructed to add the item.
Dining plans and other additions may be non-refundable or non-transferable under Disney’s rules. Any applicable restriction will be explained before payment is taken.
12. Changes made by Disney
Disney controls its resorts, reservation systems, facilities and operating policies.
Disney may change:
Resort facilities or amenities.
Refurbishment schedules.
Check-in arrangements.
Transport services.
Park access policies.
Dining or recreation options.
Other operational details.
A minor operational change that does not materially affect the accommodation will not ordinarily entitle the guest to cancel or receive a refund.
If Disney makes a material change to, or cancels, the booked accommodation, DVC Exchange UK Ltd will work with the matched Member and guest to seek an appropriate solution. Depending on the circumstances, this may include an alternative reservation, a price adjustment or a refund of recoverable amounts.
Nothing in this section removes any refund or remedy to which the guest is legally entitled.
13. Problems caused by the DVC Member
DVC Exchange UK Ltd takes reasonable steps when registering and matching DVC Members, but Members remain responsible for maintaining their membership and completing actions required through their DVC accounts.
If a confirmed reservation is cancelled or materially affected because the matched Member:
Cancels it without authorisation.
Fails to maintain their membership or pay required charges.
Misuses their DVC account.
Provides false or materially inaccurate information.
Otherwise fails to fulfil their agreed responsibilities,
DVC Exchange UK Ltd will investigate and use reasonable efforts to restore the reservation or arrange an equivalent alternative.
If neither is reasonably possible, the guest will receive a refund of the accommodation payment made to DVC Exchange UK Ltd, subject to the guest’s statutory rights. DVC Exchange UK Ltd will not require the guest to accept a voucher or credit instead of a refund where a cash refund is legally due.
14. Events beyond reasonable control
Neither party will be responsible for a failure or delay caused by an event genuinely beyond their reasonable control.
This may include severe weather, natural disasters, government action, war, civil disturbance, public-health emergencies, widespread system failures or other comparable events.
The affected party must take reasonable steps to reduce the effects of the event.
If the accommodation cannot be supplied, DVC Exchange UK Ltd will assess the available options and the guest’s legal rights. These may include an alternative arrangement, postponement, credit or refund. The guest will not be required to accept credit where a cash refund is legally due.
15. Guest responsibilities
Guests are responsible for:
Checking the reservation information.
Obtaining passports, visas and other travel documents.
Arranging flights and transport.
Meeting all entry and health requirements.
Obtaining appropriate travel insurance.
Complying with Disney’s rules and policies.
Paying any charges not included in the quotation.
Behaving responsibly at the resort.
DVC Exchange UK Ltd is not responsible for a guest being unable to travel because they do not have the correct documentation or do not satisfy applicable travel requirements.
16. Travel insurance
Guests are strongly advised to obtain comprehensive travel insurance as soon as the booking is confirmed.
Insurance should be suitable for the travellers and should, where appropriate, cover:
Cancellation.
Medical expenses.
Existing medical conditions.
Travel disruption.
Airline failure or delay.
Loss of belongings.
Circumstances in which the DVC reservation cannot be refunded.
It is the guest’s responsibility to check the terms and exclusions of their chosen policy.
17. Standard of service and liability
DVC Exchange UK Ltd will provide its services with reasonable care and skill.
Nothing in these terms excludes or restricts liability for:
Death or personal injury caused by negligence.
Fraud or fraudulent misrepresentation.
Breach of statutory consumer rights.
Any liability that cannot legally be excluded or restricted.
DVC Exchange UK Ltd is not responsible for losses that:
Could not reasonably have been foreseen when the contract was made.
Result from incorrect information supplied by the guest.
Relate to a guest’s business, employment or commercial activity.
Result from separately arranged flights, tickets, transport or other services not supplied by DVC Exchange UK Ltd.
Any limitation of liability will apply only to the extent permitted by law and will not affect the guest’s statutory rights.
18. Payments
Payments may be processed through Stripe or another payment provider identified at the time of payment.
DVC Exchange UK does not normally receive or retain complete payment-card details.
The guest must not make an unjustified chargeback. However, nothing in these terms prevents a guest from contacting their card provider or exercising any lawful payment or consumer right.
If the guest has a concern, we ask that they contact DVC Exchange UK Ltd first so that we have an opportunity to investigate and resolve it.
19. Complaints
If a guest experiences a problem, they should contact DVC Exchange UK Ltd as soon as possible:

Please include the booking name, reservation details and a clear description of the concern.
We will acknowledge a formal complaint within five working days and aim to provide a substantive response within 28 days. If further investigation is required, we will explain the reason and provide an updated timescale.
20. Privacy
Personal information will be processed in accordance with our Privacy Policy.
The guest confirms that they are authorised to provide the personal information of everyone included in the reservation and will make this Privacy Policy available to them.
21. Changes to these terms
The terms applying to a booking will be the version supplied or made available when the guest agrees to proceed.
DVC Exchange UK may update these terms for future bookings, but a change will not retrospectively remove rights or materially disadvantage a guest with an existing confirmed booking.
22. Severability
If any part of these terms is found to be unlawful or unenforceable, the remaining provisions will continue to apply.
23. Governing law
These terms are governed by the laws of England and Wales.
A guest living elsewhere in the United Kingdom may also benefit from the mandatory consumer protections and courts available in the part of the United Kingdom where they live.
Nothing in these terms prevents either party from using any court or dispute-resolution process available by law.
